Position Summary
Canada’s electricity sector is in an era of growth and change. As Canadians electrify their homes and vehicles, as renewable energy technologies are integrated into the grid and as digital technology impacts work, there has never been a more important time to convene employers, unions, post-secondary institutions and policy makers to solve the challenges facing the sector. Electricity Human Resources Canada (EHRC) is working with partners in building a world-class electricity workforce – one that is safety-focused, innovative and inclusive. One element of this work is to support the connection between employers and job seekers.
This position is for a term contract and contributes to a positive impact on the economic livelihoods of youth, newcomers to Canada and other equity deserving groups in the electricity sector across Canada. As a member of a small but enthusiastic team, the successful candidate will support and help improve internal business processes to deliver national-level projects. This position reports directly to the Program Manager and involves the coordination and administration of project and office activities.
This position involves working with community partners from across Canada. Experience working with employers, employment service providers and other stakeholders is important to the success of this role.
The day-to-day responsibilities for this role are largely administrative and client-service oriented in nature. Successful candidates will be excited to work with electricity and renewable energy organizations across the country, supporting their work toward lowering carbon emissions in Canada.
Responsibilities
- Works with project team to coordinate the processing and filing of electronic and hard copy documents related to funding applications or contracts (including administering funding, creating folders for Finance, scanning letters, contracts and reports, archiving, etc.).
- Prepares and sends correspondence to partner organizations and contacts (contracts, documentation) on behalf of the project team, as needed.
- Works with Project Management Team to ensure project records are updated in database software with all relevant information.
- Generates reports on project metrics such as the number of participants, number of organizations, and location-specific information.
- Reviews, processes (codes, validates, verifies) and submits invoices, expense claims and payment requisitions to the Finance group.
- Responds to telephone and email requests for project information and maintains communications with the project committee and related stakeholders.
- Conducts monitoring calls and collects testimonials from participating individuals and organizations.
- Supports the program’s marketing efforts by drafting communications or assisting in outreach initiatives.
- Coordinates associated travel and hospitality requirements with adherence to Canadian Treasury Board guidelines.
- Prepares agendas, meeting and event planning, takes and transcribes minutes for the project committees and working groups.
- Perform other duties as requested and as needed in a dynamic work environment.
- Occasionally represent EHRC at industry events nationwide, speaking to EHRC programs.
Education and Experience
- An undergraduate degree, college diploma or at least three years of related project and administrative experience in a professional service environment.
- Experience working on diversity, equity and inclusion projects considered an asset.
- Outstanding communication and interpersonal skills; must be comfortable dealing with internal and external clients in senior management positions.
- Strong knowledge of business support processes and tools, computer business applications (Microsoft Office Suite; Adobe Acrobat).
- Ability to work on multiple tasks in a fast-paced environment with deadlines.
- Strong attention to detail.
- A self-starter with the ability to work independently and as part of a team, with minimum supervision.
- Ability to maintain confidentiality, discretion and tact when dealing with sensitive information.
- Knowledge of the electricity industry is an asset.
- Fluency in French is considered a strong asset.
- Experience working in partnership with branches of local, provincial, and/or federal government departments is considered an asset.
Work Environment
- The position is based in Ottawa in a hybrid work environment (3 days in office weekly).
- Some travel across Canada is required.

- Salary will be commensurate with experience and qualifications ($50,000 – $57,000).
- This is a term, one-year contract with the possibility of an extension.
